Having a Shift Scheduler result in:

  • excellent shift coverage, including hard-to-schedule "precious" Saturdays
  • mechanics feel less stressed out when a shift is well-staffed
  • the BK doesn't have to close early when short-handed

Responsibilities of Shift Scheduler

  • Attend staff meeting to request (and record on wiki) schedule for upcoming two months
  • E-mail the list post-meeting to request (and record on wiki) schedule for upcoming two months
  • E-mail the list weekly (preferably Sunday or Monday) to request (and record on wiki) additional Saturday mechanics (if numbers are low -- see below description for low)
  • Use phone list to call mechanics on Thursday if there are not enough mechanics to cover a shift (and record on wiki)
  • Two days before Saturday, send out e-mail reminder to scheduled Saturday staff
  • After Saturday, send out e-mail thank you to Saturday staff participants
  • During the two months, people who have scheduling problems will email the list and sometimes ask for shift trades. Normally this is all that needs to happen -- no need to record on wiki for this special situation.
  • Sometimes there are a lot of people who unexpectedly can't make a shift -- this becomes clear over the email list. In these situations, step in and coordinate a fix.
  • Hopefully, this person will be willing to volunteer at least one Saturday a month

Saturday Shift Scheduling

  • Two shifts: 12-3pm and 2:30-5:30pm (overlap is helpful)
  • There need to be at least four mechanics signed up for each Saturday shift (this should mean roughly eight mechanics though some people are troopers and like to work both shifts, but no guilt for those who don't. 5 hours is a LOOONG time to be on your feet)
  • If there are only three mechanics signed up for a given shift, the greeter will have to limit the number of patrons who can use the shop (stands inside only perhaps).
  • If there are two or fewer mechanics signed up for a given shift, the Shift Scheduler will have to cancel the shift (and will notify the BK list and make sure to communicate this to all scheduled Saturday staff).
