Shop Operations Cluster
This cluster is no longer maintained by a single coordinator, and is instead now comprised of a number of individual responsibilities, to be held by committed staff. The Operations Cluster is responsible for the physical maintenance and management of the Bike Kitchen. The SOC ensures that the shop is stocked at all times with supplies necessary for the smoothing running and efficiency of the organization, which includes tools, new parts, used parts, facility supplies, and office and administrative needs.
Qualifications
Below are all the roles and responsibilities included in the Operations Cluster. Commitment to a role should ideally be made by staff with at least 1yr experience with the shop. The requested length of commitment to a role is 1yr.
Roles and Responsibilities
Tool/Consumables Inventory
- Takes a regular inventory of all shop tools and incidentals to be ordered from QBP & Uline
- Communicates needs to QBP orderer
Donations Coordinator
- Picks up donations, generally in our shop rickshaw. This duty is sometimes delegated to other staff.
- Maintains positive relations with local shops.
- Surveys shop for parts we are lacking and those that we have an overabundance of, so that our incoming donations are of use.
First Aid/Cleaning Supplies Inventory
- The main responsibility is to make sure that the first-aid inventory list remains on file in the office, and that the cabinet gets re-stocked monthly. Inventory should be taken every month. The person taking accountability for this role can delegate inventory and re-stocking tasks to a volunteer. A list of inventory can be found in the office filing cabinet in the folder called “First-Aid”.

- Point person with Aramark Rag Service
Key Master
- Single point person/contact for all distribution and retrieval of key fobs.
- Maintains master key list with all key holder’s assigned key numbers and contact info.

- Single point of contact between shop and the building management.
- Maintains a productive relationship with mgmt and works proactively to resolve any issues.
